Access Existing LU Software

What Is It?

This service grants you access to existing LU‑licensed software—for example, assigning a license, adding you to the correct group/role, or enabling features already available under an LU agreement. If the request turns out to be for something not already licensed, ITS will route it to the Software & Digital Resource Purchase workflow for security, accessibility, contract, and budget review. LU requires use consistent with software licensing and University contracts.

Example: requests for Power BI licenses are handled as access to an existing Microsoft 365 service when seats are available.

Example: requests for Adobe Acrobat Pro may require a new license to be purchased by the requesting department and added to Lincoln's VIP management.

Who Is Eligible to Use It?

  • Faculty & Staff: May request access for themselves or members of their unit.
  • Student employees/Graduate assistants: Eligible when access is required for job duties and approved by a supervisor.
  • Contractors/Affiliates: By exception with department head sponsorship and ITS review.
  • Students (non‑employees): Access is limited to student‑entitled software; specialized titles require academic or departmental sponsorship.

Requests and resulting use must comply with LU acceptable use and licensing obligations.

How Do I Use It?
  • Submit your request using the Request Service
    Provide the details below to speed approval:

    • Software name (and version/edition if applicable)
    • Your role and department (or the person(s) who need access)
    • Business need (what you’ll do with the software)
    • Device type (LU‑managed or personal) and platform/OS (Windows/Mac/Web)
    • Account/Group/Role needed (if you know it), or the features you need enabled
    • Course or project (if academic/research)
    • Screenshots or error messages (for reactivations or feature unlocks)
  • ITS review

    • Confirms the software is already licensed and checks seat availability.
    • Verifies eligibility, data/security requirements, and whether SSO/MFA or group membership is needed.
    • If the software is not in LU’s catalog, we’ll pivot your ticket to the purchase workflow and explain next steps (security, accessibility, contract, and budget checks).
  • Provisioning & confirmation

    • ITS assigns the license or role, completes any required configuration, and confirms access with instructions for first sign‑in or install (as applicable).
    • Installations or settings that change system configuration are typically performed on LU‑managed devices; best‑effort guidance is provided for LU‑licensed apps on personal devices when the license permits. Use must follow licensing and LU policies
